- Is VowProof only for stationers?
- No. It was built inside a stationery studio, which is why guest lists and envelope addressing come built in. But proofing, signed approvals, proposals, contracts, invoicing and the client portal work for anyone sending custom work to a client and then to print: graphic designers, print shops, signage and branding studios. Use the tools that fit your work and hide the ones that don't.
- I already have a CRM. Why would I switch?
- Most CRMs handle leads, contracts and invoices well. Where they struggle is everything in between: proof rounds, version history, signed approvals, guest lists. That's usually where the extra tools and spreadsheets creep in. VowProof includes the CRM tools you'd expect, with the proofing tools in the same project, so there's nothing left to patch together.
- I don't have time to set up a new system right now.
- That's the most common reason people wait, and it's exactly why we built Live in Five, our free setup guide. One small task a day, and by day five you're up and running. When you sign up, a short guided setup walks you through your branding, connections and first workflow, and your dashboard checklist ticks itself off as you finish each part. You don't need a quiet week to start, just a few minutes a day.
- Do I have to move every project over?
- No. Explore the sample project first, then run your next new client through VowProof and let current projects finish where they are. You can import your client list, with a review step and Undo. Past invoices, payments, contracts and emails stay in your previous system.
- Do my clients need to create an account?
- No. Clients open their portal from your email link, or with their email and a PIN. Their proofs, documents, guest list, invoices and next steps are all in one place.
- What happens when a client approves a proof?
- They complete your approval checklist (names, dates, addresses, whatever you set) and sign. The approval is timestamped and the file locks, so you have a clear record of exactly what was approved and when. If they ask for changes afterwards, you're working from that record, not digging through an email thread.
- Can a planner or parent follow the project?
- Yes. Give them their own view-only login. They can follow progress, proofs and the guest list, but they can't approve, sign, pay or see pricing unless you choose to hand them decision power. Pricing and payments always stay with your client.
- Does VowProof take a cut of my payments?
- No. VowProof charges a 0% platform fee. Only standard Stripe processing applies, and you can record offline payments such as Venmo, check or Zelle.
- How does the 30-day trial work?
- You get full access for 30 days, and you can switch plans during the trial. A card is needed to start, but nothing is charged for 30 days. You can cancel anytime from your account settings.
- Is VowProof still being developed?
- Every week. Most new features come straight from studios using VowProof. You can see every release, and suggest the next one, on our Updates page.
