━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━\ 💳 GETTING PAID ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ • Collect custom payment schedules at signing. Custom payment schedules can now collect payments immediately when your client signs their proposal. Any payment marked: Due upon acceptance (collected when they sign) will be collected online at signing, as long as Stripe is connected. Instead of Sign Proposal, your client will see: Sign & Pay $150.00 (or your payment amount) After signing, they'll go directly to checkout. Later payments, such as 50% due when the first proof is approved, remain on the invoice VowProof creates at signing. The initial payment is credited toward the total. This is especially helpful for studios using a fixed design retainer followed by milestone payments. • Payment buttons now use your custom payment names. If your payment is called Design Retainer, your client will see: Pay Design Retainer instead of Pay Deposit. The same name appears on their receipt, in the Client Portal, and on the proposal page as Paid at Signing. Traditional percentage deposits still display as Deposit. • Get notified when a client pays an invoice. Studio owners now receive an email whenever a client pays an invoice online. The notification includes a View Invoice button, and replying to the email goes directly to your client. Proposal payments already triggered notifications. Now invoice payments do too! Manually recorded payments do not trigger these emails. • Add discounts to existing invoices. You can now add or change a discount on an invoice you've already created. Open the invoice and click: Edit → Discount Choose: • $ for a fixed dollar discount\ • % for a percentage discount The invoice total updates automatically, and sales tax is calculated on the discounted amount. Your client sees the updated total everywhere the invoice appears. • Recorded deposits stay paid when invoices change. If you've already recorded a deposit and later add charges to the invoice, VowProof now applies the additional amount to the remaining balance. Your client won't be asked to pay more toward a deposit they've already paid. • Know when a payment receipt wasn't delivered. If a payment receipt can't be emailed, often because a previous message bounced, VowProof now lets you know. The payment itself is still recorded correctly. • Clearer payment schedule controls. We've updated several labels to make installment management easier: • Payment Schedule replaces the old heading\ • Edit Schedule replaces Edit Dates\ • Add Installment replaces Add Charge\ • Edit Installment appears on each payment row Installments also can no longer add up to more than the invoice total. • Protection against duplicate payments. If you manually record a payment on a proposal's invoice before sending it, the proposal's payment button is removed so your client can't pay the same amount twice. • Better invoice branding. Your logo designed for dark backgrounds now appears in the colored header at the top of your client's invoice. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━\ 📁 PROJECTS AND CLIENTS ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ • Add private notes to any project. Every project now has a Notes card on its Overview tab. Simply click: Add Note → Type Your Note → Save These notes are for your studio only. Your clients never see them. Use them for internal reminders, project details, or anything your team needs to remember. • Add spreadsheet links to Guest Lists. You can now save up to 10 shared spreadsheet links directly on a project's Guest List tab. This is especially helpful for address spreadsheets, printer files, or other shared documents. Each link has its own visibility setting: ON — Your client can see it in their portal. OFF — Only your studio can see it. You control which spreadsheets are shared without having to manage separate links elsewhere. • Copy and share project timelines. The Timeline tab now includes a Copy Timeline button. Choose to copy: • Client-visible milestones only\ • All project milestones The timeline is formatted and ready to paste into an email. We've also added two new email smart fields: • Project Timeline\ • Project Timeline (All) These automatically insert the appropriate timeline into your emails. • Reorder mood boards more easily. You can now rearrange mood-board tiles and sections using arrow buttons. The controls work on both desktop and mobile devices. • Custom die-cut shapes. Products now support a Custom die-cut option, allowing you to specify your own shape and optionally give it a name. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━\ 📅 MEETINGS AND YOUR CALENDAR ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ • Your meetings now use their actual names. If you've named a meeting type Intro Call, that's the name you and your client will now see throughout VowProof. This includes: • Booking confirmations\ • Appointment reminders\ • Calendar events\ • Meetings cards\ • Consultations page\ • Public booking page\ • Deposit descriptions at checkout No more generic meeting names when you've already created your own. • Google Calendar Free events no longer block bookings. Events marked Free in Google Calendar will no longer make your booking page unavailable. This includes things like: • Birthdays\ • Personal reminders\ • Working-from-home days Only events marked Busy block available appointment times. • Choose whether bookings create leads. Each consultation type now has a new setting: Create a Lead for New Bookings It's turned ON by default. ON — New bookings create a lead, just as before. OFF — The appointment is booked and confirmation emails are sent, but no lead or project is created. This is especially useful for consultation types intended for existing clients or meetings that don't need a sales lead. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━\ 🖼️ PROOFS AND PROPOSALS ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ • Choose whether to show the Client Portal link on proofs. Not every studio introduces clients to the portal right away. You can now hide the Looking for Older Proofs? box and its Open Your Portal link from proof pages. Go to: Client Experience → Portal → Portal Settings Find: Show "Open your portal" link on proof pages Turn it OFF to hide the box. The setting is ON by default, and existing portal logins continue working normally. • Proof due dates now carry over automatically. When you upload a proof and choose a due date, the Send to Customer window now opens with that date already selected. No need to enter it again. • More control over proof approval questions. You can now show invoice totals on a proof without requiring the standard quantity question and payment acknowledgements. In Send to Customer, uncheck: Include the quantity question and the payment acknowledgements This is helpful for studios that already cover those details in their own approval checklist. • Clearer contract signing status. Contracts now display as Signed only after they've actually been signed. Until then, the proposal's contract section shows: Contract (not yet signed) This makes it easier to see exactly where your client stands. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━\ 📱 BETTER ON YOUR PHONE ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ • Easier navigation on smaller screens. Wide tab bars, including Consultations and Product Catalog, now start at the first tab instead of opening partway through the list. • Important buttons stay visible. Add Event and Add Product buttons now remain accessible on smaller screens. • Cleaner contract template controls. The contract templates list now keeps Edit aligned with its row, while additional actions are organized under a ⋯ menu. These improvements make everyday tasks easier when you're working from your phone. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━\ ⚙️ SMALLER IMPROVEMENTS ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ • Clearer workflow waiting messages. Workflow steps that are waiting for an event instead of a specific date now explain what they're waiting for. For example: Waiting for "Wedding Invitations Questionnaire" to be submitted. This makes it easier to understand why a workflow hasn't moved forward. • Better handling of disconnected email accounts. If Google or Microsoft removes access to your connected mailbox, VowProof now disables the connection and prompts you to reconnect under: Settings → Email Instead of having every outgoing email fail individually, you'll know the connection needs attention. • Accessibility improvements. Screen readers now correctly identify the fields when adding project milestones and recording payment amounts. • New Help Guide articles. We've added articles covering: • Collecting payments when proposals are signed\ • Hiding the Client Portal link on proof pages\ • Invoice payment notification emails Find them under: Resources → Help & FAQ • More reliable payment recording. We've improved how invoice payments are recorded when Stripe communicates with VowProof.
